What each role gets
- Asset manager — Runs the day-to-day asset estate: registers and edits assets, checks them out and in, transfers or reserves them across people, locations, and custody states, and raises and closes maintenance work orders. Reads the depreciation schedule and licence/warranty renewals feed to plan ahead, and can ask the built-in Asset AI natural-language questions like "what's idle" or "what's at risk" — answered straight from live asset data.
- Employee — Sees every asset assigned to them plus the full immutable custody history for it, and can check an available asset out to themselves or check one back in with a condition note. An organisation acting as an external partner — a gallery, dealer, or auditor — gets an even narrower, read-only view scoped to only the assets explicitly shared with them.
- Tenant admin — Builds the dynamic schema the whole module runs on — asset types, custom fields, and lifecycle statuses — because "each asset class is data, not code." Configures custody states and every registry (categories, locations, vendors, external partners), sets the depreciation useful-life and finance rules, defines no-code automation rules, and controls the module's feature flags down to per-capability toggles like maintenance, AI, and external-partner access.
